KVP Nigeria Sequa-No.: 1030 Job description of Project Assistant (KVP Project) The Project Assistant will possess sound Project Management skills and work closely with the Project Manager/Coordinator in Nigeria and the Project Manager/Coordinator in Germany for timely implementation of the projects.

He or she will ensure that proper records are kept and give periodic reports to the Project Manager/Coordinator in Nigeria. He or she will give administrative and logistical support to the project team of the chamber partnership project.

Tasks and Responsibilities

Preparation and monitoring of accounting documents (monitoring list, proof of expenditures, etc.)

Assists the project team with travel arrangements, hotel reservations, and in-country transportation.

Logistical preparation and documentation of project activities

Technical assistance for the organization, management, and implementation of procurements under the project budget

Minute taking and provision of inputs for reporting purposes.

Provide support services such as settling, rent, Wi-Fi, telephone bills, and others

Assist in handling orders such as office supplies and/or materials for office use and training

Responsible for copying, sorting, scanning, and sending documents through DHL.

Maintain an updated & complete list of inventories of project properties.

Collect and control timesheets.

Assist in the implementation of KVP project activities by the operational work plan.

Prepare administrative documents, collect, and compile inputs to documents.

· Draft routine letters and correspondence for project implementation.

· Prepare inputs to project implementation processes.

· Organize stakeholders’ meetings, compile, and organize inputs to meetings, project reports, presentations, and communication materials.

· Project document management (e.g., research and installation of a document-sharing platform)

· Carry out other assignments as may be assigned by the Project Managers/Coordinators

· Prepare weekly reports on progress with the KVP project.

· organize communication between German partners and local partners as well as other stakeholders.

· Assistance to incoming short-term experts and logistical preparation of short-term experts’ missions.

· Besides the administrative and logistical support, the following activities will be part of the project assistants’ tasks.

· Organisation and implementation of surveys to be conducted within the project, if necessary, giving training on data collection and data processing for project partners and colleagues.

· Depending on the needs of the project, additional activities may be included upon agreement between the employer (here the funding part CCI Gießen-Friedberg).

These changes will not result in any adjustment of the salary agreed upon.

Job Requirements/Competencies Education:

Bachelor of Science or its equivalence in Social Science, Management, or humanitarian courses.

A Master’s degree is an added advantage. The prospective candidate must have relevant professional certifications, e.g. Project Management.

Experience:

Minimum of 2 years cognate working experience. He or she must have worked in a similar capacity or have managed international projects.

Experience in chamber/association work is an advantage as well as experience in project monitoring and management of training.

Communication Skills:

Excellent Communication skills (both in written and verbal form).

Ms Office:

A candidate for the position must be highly proficient in the use of MS Word, MS Excel, and PowerPoint. The high degree of integrity and transparency. Excellent analytical and reporting skills.

Leadership/People Skills:

Ability to demonstrate strong leadership qualities where he or she shows an ability to influence Team members, engage relevant stakeholders, and target and manage members.

Quantity Structure Start and duration:

1st of January 2024 – 31st of December 2025 (end of official project funding/ end of 1st project phase).
